THE CLIENT

The National Association of Intercollegiate Athletics administers athletic programs across more than 250 affiliated colleges in the United States. Each year, the organisation processes over 45,000 athlete eligibility applications — a multi-dimensional verification process covering academic records, athletic qualifications, and criminal background checks. 

The integrity of that process determines which athletes compete. Errors in either direction (incorrectly disqualifying eligible athletes or passing ineligible ones) carry regulatory, reputational, and legal consequences for the organization and the institutions it governs.

THE CHALLENGE

The eligibility process at the time of engagement had been constructed from fragmented tools operating without integration. Verification checks ran across disconnected systems, each requiring manual oversight and data entry at multiple points. 

Processing time per application averaged two to three weeks, a timeline that was a product of manual effort and system-to-system friction rather than the inherent complexity of the checks themselves. As application volumes grew, the delays became structural rather than incidental. Error risk accumulated alongside processing time.

Primero Group re-architected the entire eligibility process, consolidating academic, athletic, and criminal background verification into a single automated platform built to handle the full annual volume from the outset. 

Manual data entry was minimized at every point where system-to-system integration could replace it. Algorithmic cross-checking standardized validation logic, reducing the inconsistency that manual oversight had introduced. Real-time status visibility was built for both administrators and student-athletes — a basic expectation of modern institutional systems that the previous environment had not provided. The platform was designed for the current 45,000-application volume and for the growth that would follow.

WHAT IT SHOWS
